In order to provide heartwarming service to the consistently growing number customers as its popularity soars, it introduced LINE WORKS to ‘strengthen close communication and information sharing system among employees.’ We interviewed Hiroi and Kanazawa from the Management Department, and Saiki from the Guest Relations Department to hear how the company is utilizing the service.

Please tell us about your business, roles, and responsibilities

Mr. Hiroi:

Our company operates ‘Atema Kogen Belnatio’ accommodating a hotel, a golf course, and various nature activities in Tokamachi City, Niigata Prefecture. As a manager of the Management Department, I am in charge of general affairs and human resources, system operation, facility management, etc.

 

Mr. Kanazawa:

As the General Affairs·HR manager of the Management Department, I take care of system -related management such as salary, attendance check, and introduction and maintenance of PC. I am also involved in operating and managing LINE WORKS.

 

Mr. Saiki:

As a manager of the Guest Relations Department, I am in charge of overall customer service for resort facilities including hotel and restaurants.

What were some difficulties that you had before introducing LINE WORKS?

Mr. Hiroi:

Our resort started getting more spotlight after winning Gold for the ‘Rakuten Travel Award 2017,’ an award given to accommodations with exceptional user reviews. In order to provide and maintain quality service, employees need to communicate closely and share information seamlessly. Nevertheless, the risk of ‘shadow IT’—confidential information being leaked while employees share work-related information through mobile devices— has emerged as an important issue to be solved.

Mr. Kanazawa:

We used groupware technology to announce various kinds of information in the office, but checking them frequently was a challenge since information could only be accessed through a PC in your designated seat. As prompt sharing of information with employees in reception is a must to manage a resort, we had to consider an additional communication tool.

 

Mr. Saiki:

In the Guest Relations Department, we adjust the shift schedule of about 50 employees to match the number of customers each day. In order to do this, we contacted employees through phone or mail, but some staff off-duty could not be reached, and some employees who did not own company-provided mobile phones felt burdened to share their private phone numbers.

Please tell us why you chose LINE WORKS, and how your LINE WORKS integration was

Mr. Kanazawa:

After considering various tools, we took note of LINE WORKS, a service that allows users to share real-time information through mobile phones regardless of location, and which is certified with a global security standard of SOC. There were also some customers wanting to use LINE messenger to communicate with the hotel. We were attracted to the fact that it is a tool that can be managed by the company and also be integrated with LINE, and also that it does not require additional training because it has the same interface with the widely-used messenger, LINE. After trial operation with the CEO and the General Manager included, we could feel its convenience and improvement in work speed. Consequently, we decided to officially introduce the service. We opened around 200 accounts including part-time employees to utilize it for managing work shifts. As there were only a few employees provided with mobile phones from the company, we introduced the service as a BYOD (bring your own device), asking employees to download the app in personal mobile phones.

 

Mr. Hiroi:

The Management Department established basic operational regulations, such as restricting file downloads to mobile phones because of security issues, and stipulating that work-related contacts should be made only through LINE WORKS.

How exactly is LINE WORKS being used? Please tell us more about its effects

Mr. Kanazawa:

We have naturally come to use LINE WORKS when making work-related personal contacts, and groupware when delivering information across the enterprise. It is a rule not to carry a mobile device in reception except for the staff in charge of emergency contacts, so we asked employees to use LINE WORKS in the back yard. As a result, we could feel that information we needed to share with reception employees was being communicated faster than before.

 

Mr. Hiroi:

Unlike groupware where you have to access it to check information, we can receive a LINE WORKS alarm anywhere in the resort. This has significantly reduced the time it takes for sharing information, and in turn sped up the general work process.

Mr. Saiki:

Every day, our resort runs five shuttle busses that connect hotels to various regions such as Tokyo and Niigata, and when the number of passengers increases due to sudden bookings, we also need to increase the number of customer service employees to prevent chaotic situations. After introducing LINE WORKS, it has become easier to ask night-duty personnel to come to work early, on bus arrival time. We can also contact employees with much ease and clarity when we urgently need to change work shifts, due to emergencies like sudden banquet reservations.

 

When we notice any damage in the facility and need to get approval for repair and changes in room layout, we send photos to our supervisor and ask for judgement. Before, we used to print out the photos or send them through groupware, so sometimes it took us two to three days for the supervisor to reply if he was on a business trip. After introducing LINE WORKS, we can get real-time instructions, as supervisors can immediately reply wherever they are.

 

Moreover, we created an ‘emergency network‘ group that includes every employee in the Guest Relations Department, and could quickly share information by contacting everyone at once at times of customer emergency like illness or injury. When calling an ambulance, we managed to build a system where employees with spare work time can quickly collaborate and handle the situation. We believe that boosting the speed for information sharing through LINE WORKS is also helping to make customers feel safe and reassured.

What kind of changes did you experience after introducing LINE WORKS, in terms of work environment and work style?

Mr. Hiroi:

With LINE WORKS, you can call someone whom you don’t have the number of. Moreover, I believe that there is more communication now with the use of message rooms, and teamwork improved.

 

Before, employees used to make reports and ask for consultations mostly through phone calls, but after the introduction of LINE WORKS we are using phone calls only in times of emergency—most other issues are delivered through messages. As we receive less and less work-related calls on the holidays, we can sense quality improvement in personal time.

How would you like to utilize LINE WORKS in the future?

Mr. Saiki:

I think we might utilize the integration feature for external conversations. Then we will be able to use the service for contacting buyers in the beverage sector. At the moment we are making contacts mostly through the phone, but if we could keep such conversations in record, we would be able to manage the order-to-delivery process more efficiently.

 

Mr. Hiroi:

I would like to use ‘Form’ and build a system where we can check employee status in case of emergency.

 

Moreover, every week, the management staff get together to report on what happened during the week— I would like to utilize voice and video call feature so that even employees in the Tokyo branch can take part and share information face-to-face. I believe that the risk of ‘shadow IT’ that has been a big challenge has decreased, but since it hasn’t been long since the introduction of the service, we plan to continue in our efforts to establish regulations to use LINE WORKS more safely, and to utilize its various features.

We adopted LINE WORKS to solve the problem of lost connectivity in the event of a disaster; previously, we had a telephone and wireless system as only available communication means. In this sense, we could witness a significant change when heavy rain in West Japan and large-scale blackout stroke. We interviewed Mr. Nishizaki from the Health and Medical Division of Hamamatsu City Office and Professor Yoshino, an emergency/disaster medicine specialist, about the process of introducing LINE WORKS and changes that came afterward.

Please tell us about your roles and responsibilities

Mr. Nishizak:

I take part in managing the medical policies and disaster medical treatment. Specifically, my responsibilities include implementing measures for the emergency medical system and preventing cancer and suicide. Therefore, I communicate with medical, dental, pharmaceutical, and other related associations regularly.

 

Currently, I oversee comprehensive disaster prevention and medical drills and act as a key medical aid liaison by improving the means of information exchange and strengthening collaboration among several medical institutions and organizations. Moreover, I monitor Nankai megathrust earthquakes activities in case a tsunami rushes in. Hamamatsu city covers extensive coastal and mountainous areas; therefore, we review the medical aid system based on such regional characteristics.

How did you deliver information in the event of a disaster?

Mr. Nishizaki:

Our city was equipped with fax machines, emergency wireless communications, and satellite mobile phones as a means of delivering information to medical institutions, and emergency aid centers in the event of a disaster. Unfortunately, we became well aware after Tohoku and Kumamoto earthquakes that the existing communication methods could not provide seamless and immediate information exchange that we need.

 

When the Tohoku Earthquake occurred, our city also sent the support team but experienced unstable connections due to consecutive aftershocks and had difficulty communicating with them. During the Kumamoto Earthquake, we tried using radio and e-mails, in both PC and mobile settings, but nothing seemed to work.

 

Mr. Yoshino:

All of the contact systems of medical institutions that we knew in our city were fixed-line phones. Thus, in September 2018, it was challenging to get the disaster information after a typhoon disconnected the entire phone line. We did have an alternative – to use a satellite mobile phone. However, the method requires considerable skills to operate and have critical disadvantages: it only has one line, and redialing is exceptionally complicated. In this sense, we might not be able to deliver the essential missing details from the first call. Furthermore, there are also issues with misunderstanding with audio delivery and time, as the information can only be provided to people on the phone.

Is there a reason why you considered establishing a network that includes medical institutions?

Mr. Nishizaki:

When the Great Hanshin earthquake took place, there was a significant discrepancy in the accommodation capacity of medical institutions. Indeed, some had plenty of room for accommodating patients while the others were full up to the limit; the unfortunate situation happened due to the lack of interconnected communication platform. In times of Kumamoto earthquake, the hospitals suffered physical damage and also the chaotic condition of not knowing where to transfer hospitalized patients. Based on these experiences, I felt a strong need to interconnect medical institutions.

 

We reviewed the establishment and empowerment of the network to save as many citizens as possible amid large scale disasters. At first, we decided to establish the disaster medical information network within medical institutions that may have a critical impact on patients’ life in times of power outage: emergency hospitals, dialysis, and perinatal systems.

Why and how did you introduce LINE WORKS?

Mr. Nishizaki:

There were reports on how LINE was helpful in sharing information during the Kumamoto earthquake. With that in mind, we tested LINE WORKS during a medical aid training at the end of October 2017- the result was more than satisfactory. All satellite mobile phones and wireless emergency communications are limited to verbal interactions. However, we could save and access text messages with LINE WORKS. We believed that in a disaster situation, it would be helpful to have access to the text messages for later without checking immediately. Moreover, we were drawn by how the network included many medical institutions and people outside of Hamamatsu city; this allowed us to know which medical institution had access to the sent information.

 

The fact that we can easily send photos with LINE WORKS contributed to its implementation as well. During a large-scale earthquake, we can send the pictures of the medical aid box within the emergency aid center to let partners know which medical supplies are needed promptly and accurately.

 

LINE WORKS allows the admin to build systems. Our management staff can apply set rules and easily customize groups, names, and icons according to need. It also helped us build a network significantly since we could manage and distribute accounts and passwords to each medical institution. Such a management system is not attainable with LINE alone.

Could you explain in detail about how you use LINE WORKS?

Mr. Nishizaki:

In June 2018, LINE WORKS was formally proposed at the open network meeting and was introduced in July of the same year. Currently, IDs are issued from each institution, and the ones in use amount to approximately 180.

 

There were two cases that we put LINE WORKS into the field use. The first was the Heavy rain of July, Heisei 30 that occurred in July 2018. Hamamatsu city’s support team was dispatched to Hiroshima Prefecture and formed a group consisting of 30 related personnel via LINE WORKS. Information exchange was streamlined as we could share information reported in our city and receive the details of the situation of the actual site.

 

The second was the large-scale power outage caused by the influence of Typhoon 24 on September 30th, 2018. On the early morning of October 1st, Professor Yoshino, who was in charge of the disaster medical coordination in Shizuoka Prefecture, contacted me about the need to prepare for the disaster. Therefore, our city office urged each medical institution to enter the current state of damage in the EMIS (Emergency Medical Information System established by the Ministry of Health, Labor, and Welfare) via LINE WORKS. We were also able to input damage condition info in place of institutions that were not capable on their own; we would receive the updates on damage status to fill in the EMIS with LINE WORKS. By October 1st, the smooth connectivity among all parties enabled us to grasp most of the power outages of medical facilities in the city.

 

Mr. Yoshino:

We were glad to achieve responsive communication through LINE WORKS and prevent the worst scenario of not knowing the damage information properly. Notably, it was beneficial to seamlessly collect the damage information from gynecology, dialysis, and psychiatry facilities; such institutions were vulnerable to the adverse effects of a blackout on patients. Furthermore, we would provide each medical institution of the information about power outage situations and priority plans collected by the Shizuoka Prefectural Government. Simultaneously, medical facilities would share their condition and availability to take patients. Thanks to LINE WORKS, we could quickly identify and make lists of medical institutions experiencing a power outage and request early power restoration to the Hamamatsu City Office Crisis Management Division. Also, the electric power company could start the immediate restoration process with the given lists.

What has changed since the introduction of LINE WORKS?

Mr. Nishizaki:

Hamamatsu City Office is now better equipped on disaster management and has a higher level of emergency preparedness. When a disaster strikes, our city staff and medical personnel need to change the stance as if turning a switch instantly. With the help of Professor Yoshino, we were able to turn the responsive switch promptly. We could take action early in the morning by contacting medical institutions to figure out conditions.

Mr. Yoshino:

It felt great to connect with medical institutions with LINE WORKS rather than a call that did not work. I believe that group chat feature brought a positive change by creating a communication hub to share information among gynecology, dialysis, and psychiatry facilities. If we cannot divide them into groups, we might be confused, bombarded with irrelevant info.

How do you plan to use LINE WORKS in the future?

Mr. Nishizaki:

We want to fortify the close ties among Hamamatsu City Office and medical facilities for the city’s mission: preventing the dispersion of contagious diseases during a disaster. Also, with LINE WORKS, we believe that the Hamamatsu City Health Environment Research Center can deliver recent epidemic disease reports or carry out training against infectious diseases. The research center already publishes the report on the epidemic diseases study. Lastly, we look forward to promoting the engagement within the network further as well.

The company also operates event and warehouse business, mainly in the center of transporting housing materials in Kanto region. They introduced LINE WORKS to have flawless communicate with drivers, who drives all over the country. We interviewed Mr. Yoshida, Ms. Takakura, and Mr. Tanaka to hear the problems they encountered before the introduction and the changes made after the introduction.

Tell us about your company and individual roles

Mr. Yoshida:

I am in charge of systems-related works, and also general affairs.

 

Ms. Takakura:

I am in charge of office works at the Headquarters.

 

Mr. Tanaka:

I am in charge of truck management at the Headquarters.

What were the issues before the introduction of LINE WORKS?

Mr. Yoshida:

In our company, it is daily routine for drivers, who move across the country, report to the headquarters, and headquarters sends a map to the driver the next destination. We mostly used phone calls or SMS to do so. It is very important for us to keep track of moving route and behavior of each driver since the moving situation changes on a daily basis. It took a great amount of time when contacting with the drivers through phone calls since we have about 50 drivers working everyday.

 

On delivery day, if our customer calls us either to confirm the delivery time or change the delivery time, we have to send information about such issue to the driver in a prompt manner. At times, however, we could not reach out to the driver promptly, and we had to feel nervous as if the time takes too long.

 

Mr. Tanaka:

Not being able to share photos with the drivers was the most uncomfortable limitation that we faced. If we take photo of the map and send it to the driver, it can deliver information much accurately than call the driver and explain about the next destination for the delivery. It was also uncomfortable to deliver detailed information through phone calls, such as notifying the driver about the road conditions, in which big trucks cannot enter. Moreover, if we find damaged parcel, we need to contact headquarters and they contact the customer. However, there were issues which cannot be explained solely by verbal communication. Therefore, we sometimes had to use personal email and messenger accounts to send customer photos.

What was the decisive reason that drove you to turn to LINE WORKS?

Mr. Yoshida:

It is true that we have considered introducing a new business communication tool to our company in the past. But, we could not easily introduce the tool because we thought that company communication tool should easily be used by the employees and should also be sharable. Therefore, we ended up with a conclusion that LINE WORKS, a similar tool to LINE, is the most suitable tool for introduction. We were also positive about LINE WORKS since we can operate the tool in both smart phone app and PC browsers. Available features, including Calendar feature, share information in a group level feature, and most importantly, send photo feature were the decisive factors which led us to turn to LINE WORKS.

What did you consider the most when introducing LINE WORKS?

Ms. Takakura:

After the introduction decision was made, I took part in actual introduction work for each employee. We were able to reduce the burden in the administration by sending out documents on installation and password setting to the drivers and let them set up the account on their own. Due to its similarities interface with LINE, we found it easy to use. About a week after, all the employees successfully finished their account setting.

Tell us the specific use cases for LINE WORKS

Mr. Yoshida:

We archive address information which are yet to be updated, such as a new building site with not street address or a road information in which big trucks cannot pass by. LINE WORKS has made it convenient to send map image to the drivers. Even when we find damage on the material, it is now possible to clearly notify the customer even about the damage that is hard to identify at a glance in detail by sending photos. We also like LINE WORKS in a perspective of we can keep a record of communication in order to prevent problems from occurring in the future.

Mr. Tanaka:

We are sending photos of requested documents that specify which parcel to deliver, and where to deliver. Requested documents, which are sent from the customers, should be delivered to the drivers in real-time. In case of long-distance delivery schedule, there is a case where the loading schedule is not determined when returning from the departure point. In such a case, the driver must contact again after departure. Instead of verbal communication, if we send photographs taken through the messenger, we can communicate more clearly and we can also share information quicker than before by using LINE WORKS.

 

Mr. Yoshida:

Using LINE WORKS Calendar feature, employees working in the logistics center are sharing information such as customer visit information, parcel arrival condition, vehicle inspection information, and non-usual vacation schedule and so on. Previously, we had to stand in a line in order to copy the vehicle inspection certificate. And it was very analog way of managing the vehicle inspection schedule. After LINE WORKS introduction, however, we can now register which and when the vehicle will be inspected and everyone can share the schedule.

 

Ms. Takakura:

I am sending out information regarding website updates or medical checkup using LINE WORKS Messenger feature. Read notification is helpful to me since I can figure out whether all the employees read the message or not.

What are the effects after the introduction of LINE WORKS?

Ms. Takakura:

Up until now, each individual had to call one another even when working together. But today, multiple employees can communicate simultaneously using LINE WORKS group chatting room. Due to this, we feel like our teamwork has become greater than before. With LINE WORKS sticker, communication is becoming more active and therefore, the work progresses smoothly.

 

Mr. Tanaka:

After LINE WORKS introduction, rate of phone call usage reduced by half. We rarely use SMS thesedays.

Mr. Yoshida:

As we can share information accurately and promptly, the problems such as ‘we did not hear it’ or ‘we did not know’, which we used to have are eliminated. LINE WORKS Calendar feature enables us to send notifications to important information. With this, all the employees gained a habit of checking notifications every morning, endeavoring not to miss any of the schedule. And this definitely is a positive change made to our company.

 

Overall processing time on customer inquiries has reduced as we introduce LINE WORKS. As we can either directly send photos which received from the drivers to the customers or ask drivers to take photos again if the resolution of the photos is not clear enough, the overall processing time has reduced, while accuracy has increased.

 

This field is all about ‘deduction’. It is natural to send customers’ items to the place as specified at the designated time. If delayed, the deduction happens. ‘Next level of logistics’ policy, which our representative director promotes includes speed and quality of transport. To do so, information sharing is the most important factor. As we are sharing information in a prompt manner, the possibilities to prevent ourselves from deducting to minus in advance has increased. After LINE WORKS introduction, not only working efficiency has improved, but also quality of the service we provide. We think it is a great evolutionary change at the company level.

Mr. Iwasaki, in charge of general affairs and deliveries, and Mr. Sasaki, responsible for deliveries, tell their stories.

Please tell us the details of the business and your roles

Mr. Iwasaki :

Since its foundation in 2008, our company has been manufacturing and delivering company meals in the form of lunch boxes. From areas nearby, to far away, we deliver different meals every day that are focused on variety and nutritional balance to customers throughout a broad region. 75 of our delivery personnel deliver about 18,000 meals each day to more than 2,000 customers. As the one in charge of general affairs and deliveries, I communicate with delivery personnel daily to manage accurate delivery of meals to our customers.

 

Mr. Sasaki :

I currently work in the delivery division, in charge of deliveries to customers. It has been 3 years since I began working at the company.

What were some of the issues prior to using LINE WORKS?

Mr. Iwasaki :

There had been only 1 computer in our company and a few people used it. It was an analog environment in which most of the work was performed on paper, and through phone calls and FAX. For communication, not only between headquarters and delivery personnel, but also among the delivery personnel, phone calls and short text messages were used through basic mobile phones provided by the company.

 

Every morning, calls or faxes come to headquarters from customers regarding meal orders of the day. For most cases, however, couriers have already started their delivery routes at the time orders are received. So we have been using the method in which a headquarters employee manually writes the details of an order on an order sheet and reads it to a courier via phone. The couriers then deliver the orders after hearing the number of orders for the day.

 

When conducting work via phone, deliveries are made by mistake from time to time. Also, since couriers leave after the number of orders is finalized, it is often discovered during delivery that the number of meals is insufficient. In such cases, the courier and the general manager individually communicate by phone to adjust the number. I currently manage 35 couriers and often receive too many calls from them, which causes other calls to be missed and on-time responses to be delayed. From 10 to 10:30 AM, in particular, all couriers make interim reports so the phone line during this period is nearly paralyzed. Since the meals must be delivered before lunchtime, the percentage of morning work is overwhelmingly great. We receive about 200 phone calls in the morning alone so we experienced limitations with communication by phone.

 

One courier is responsible for deliveries to 20 to 30 companies, and there is even one courier who is responsible for 70 companies. We think that couriers have also felt stress when calls do not go through or it takes a while to contact.

Please tell us how you have introduced LINE WORKS

Mr. Iwasaki :

When we were experiencing the limitations of phone communication, we reviewed changing the mobile phones provided by the company to smartphones. We thought about taking a picture of the order sheet received by headquarters and sharing the image with couriers, instead of verbal transfer via phone. This was when we were introduced to LINE WORKS from another company that we know.

 

First of all, we thought that we would become familiar with it quickly, as its interface is similar to that of LINE. We also had expectations that, if information regarding insufficient or excess meals can be shared among couriers in LINE WORKS Group Chat, they may voluntarily adjust and transfer quantities among themselves without myself working as a mediator.

 

When we used the trial version, we designated a few couriers in their 20s and 30s, along with some couriers in their 50s who do not normally use LINE, to verify if they would be able to use the app well and what inconveniences there might be prior to a company-wide introduction. Since we also thought of using LINE WORKS on their own smartphones, we wanted to check if they might feel any resistance to using personal smartphones for work. The important point to determine was if communication that had been mostly call-based can now be executed smoothly by messages.

 

The results showed favorable feedback from most of the employees regarding LINE WORKS. The younger generation is already familiar with LINE, so it seems that they do not see sending messages via LINE WORKS as a hassle. Couriers in their 50s also had no problem using the app. Based on the outcome, we decided to introduce it about one month after we began the review.

Please tell us about your considerations prior to introduction

Mr. Iwasaki :

Currently, 75 of our couriers and 45 office and manufacturing employees utilize LINE WORKS. Before introduction of LINE WORKS, the company proposed two options: using smartphones provided by the company or BYOD(*). The former option was proposed as we thought there may be many employees who would resist using their own smartphones for work. Surprisingly, however, about 70% of the them chose BYOD, though differences exist among regions and age groups of the employees. For those who chose the BYOD option, we offered subsidies in the form of communications expenses so that employees would not face any disadvantages in using personal items for work purposes.

Mr. Iwasaki :

After introducing LINE WORKS, employees at headquarters take photos of order sheets with smartphones and share the images with couriers using the LINE WORKS chat feature. Efforts and time are both saved compared to verbally delivering the details of orders, and accuracy has also been significantly improved. Couriers and the general manager in charge of a particular region have group chatrooms to make real-time reports on insufficient and/or excess meals. If there is an area with an inadequate number of meals, another courier assists immediately by delivering the amount of shortage.

 

Even if an accident or another issue occurs, information can be quickly shared through photos, and the location data can be shared in a chatroom to inform the current location to other couriers in the same region. Precautions in deliveries, notification of driving classes, and other news and notices to be shared with all of the couriers can be posted on Home(message board). The app is also used conveniently to communicate with manufacturing employees to, for example, urgently change the quantity to be manufactured.

Mr. Sasaki :

Ever since we began sharing order sheets using images, the mistakes that often occurred when communicating and delivering order details by phone disappeared to prevent any errors in delivery. For urgent cases, the Call feature of LINE WORKS is also being utilized.

 

Interim reports at 10 AM every day are conducted in a group chatroom of 3 couriers responsible for the same region and Mr. Iwasaki, the manager-in-charge. Even when we get a report that there is a deficiency of meals, couriers can now immediately respond among themselves. Compared to the analog method in the past, LINE WORKS is a remarkably innovative tool, which has dramatically transformed the efficiency of our work.

What changes have you seen after introducing LINE WORKS?

Mr. Iwasaki :

In the past, there used to be 200 calls made every day in the morning alone, but after introducing LINE WORKS, the figure significantly dropped to below 30. Thus, the time we had been spending on the phone decreased drastically and delivery mistakes that occurred from verbal exchange were also reduced, which we think helps contribute to improvement in customer satisfaction.

 

Once someone types via LINE WORKS regarding “delivery delays” or “insufficient quantity”, other couriers can now provide assistance. As situations are shared among relevant people in real-time, couriers can act quickly on their own, without waiting for instructions given by the managers, which has reduced the amount of burdens the headquarters had previously shouldered. If an issue is handled among the couriers, the headquarters may still check the background and outcome through LINE WORKS, so we can all feel more relieved about it.

Mr. Sasaki :

Because the number of calls I have had to make on the mobile phone has decreased significantly, I can now concentrate on driving and delivering meals in a safer manner. Introduction of LINE WORKS has allowed others to immediately provide assistance if an issue has occurred for a courier and, thus, a strong sense of cooperation has formed among the couriers. I think it has enabled us to take actions on our own instead of waiting for orders from headquarters. I believe it is a remarkably great change that not only our work has become more efficient, but also teamwork has been further strengthened.

We interviewed President Mr. Kojima, Ms. Susa, Mr. Kudo, and Mr. Horiuchi about how could they resolve the problems which they faced before the introduction with LINE WORKS.

Tell us about your company and individual roles

Mr. Kojima :

We are a consulting company based in UK. We are carrying out global and neutral consulting business focusing on architecture, office transfer, and IT. We are mainly responsible for infra systems and its related projects which are the base of the enterprise as well as strategy and project management, introduction and management for daily tasks. The scope of our work ranges from IT, and facilities to audio visuals.

 

Mr. Kudo :

One of our strengths is that we can suitably make response to the IT-related construction projects. When creating a data center or server room, we also provide consulting services on ordering or managing the budget for vendor companies.

What were the issues before the introduction of LINE WORKS?

Mr. Kojima :

Since 2/3 of our employees reside and work at client companies, communication with those employees were not fluently made than we expected. Also, because of those employees who are residing at the client companies use the email domain of the client, they had to login to our company account with other electronic device to check the internal emails. With the tendency of checking the business-related email first, instead of checking the internal email, the employees could not answer to internal emails promptly. It is true that we have global information portal sites, which are commonly used by our employees. However, since its major language was English, it was hard to use the tool in Japan.

 

We also used Skype or SMS for internal communication. However, because each employee uses all of the different means of communication, they had to call each other if they had to make urgent contacts.

What was the decisive reason that drove you to turn to LINE WORKS?

Mr. Kojima :

Until now, we have been renting out 2G phones to employees who reside outside the company. But, we changed the mobile device from 2G to iPhone recently. Based on its change, we came up with an idea that we should introduce a new tool to our company as well.

 

Mr. Kudo :

When using SNS which are commonly in use, we had to ask contact information to each employee. With LINE WORKS, however, we could find out the contact information of all the employees even without asking for them. It was appealing for us to be able to start with the least explanation on the first introduction of the LINE WORKS since it has same method of usage as the LINE, which is used by as many people as the infrastructure of society already. When introducing the tool, it was almost mandatory to make usage guide or manual of the newly introduced tool. However, there was no need for us to make documents on the tool when introducing LINE WORKS. We found shortening of such unnecessary work was great benefit of LINE WORKS.

 

Mr. Horiuchi :

We have went through several tools. But, we chose LINE WORKS because it is easily adopted, provides service with low cost, and employees were already used to its usage. In fact, no inquiry was received from the employees on the very first day of the introduction. We thought that employees were not using the tool well. We even worried and considered further about the utilization of the tool. Yet, we soon found out that all the employees were already got accustomed to the tool, and therefore, there was no question drawn from the users.

How does the internal communication at your company changed after the introduction of LINE WORKS?

Mr. Horiuchi :

It has become easier for us to communicate with the employees dispatched and working the client office. Until now, communication has been inconveniently held since the employees were using different communication tools. Specifically, we had the employees who mentioned that they ‘have not read the internal PTS emails’ or there were the employees who are reachable through Skype and vice versa. After the LINE WORKS introduction, it became clearer to find the right person to contact. Also, even though we do not receive the response in a prompt manner, we can assure that the message was read through ‘Read’ notification.

 

Being able to handle the problem immediately is another point which has improved. For example, there are at times when the employees dispatched to the client office. sometimes accept the offer which goes beyond its original scope of the work and as a result, it gets harder for field workers to handle the issue. Even in that case, we can quickly receive contacts regarding the issue and manage it. We did not even know that there was a problem in the past. So, we believe that there were a lot of cases when the employee handle the problem alone. As can communicate under the better circumstance, the volume of the communication has increased as well as clarity of the conversation has improved.

How does the internal communication at your company changed after the introduction of LINE WORKS?

Ms. Susa :

We often have communicate with the employees stationed at the client office using the group chatting room made by team basis. In some cases, one manager take on a number of projects and its members. By creating groups on a project basis, manager can both manage the project and share information much easier than before. Also, we are writing contents what is called ‘Monthly report’ on the board such as notice on the virus or company news using Home feature. On company news, we publish contents like internal office event or introduction of the hard working teams and so on. By frequently sharing such news, we are reinforcing the employees’ sense of belonging to our company, even though they are working outside the office.

 

Mr. Horiuchi :

We are frequently using the chatting room made by project basis. Because most of our work is with regards to office infrastructure, we are mostly using the chatting room when sharing photos taken at the field and ask our engineers for opinion. It is convenient since we can share the situation immediately. If we only communicate through texts, there is possibility of communicate partners feel offensive during the conversation. Using stickers, however, we can also express our feelings and emotions, which enabled us to share messages smoother than before. Of course, foreign employees have naturally been using the tool as well.

 

How do you want to utilize LINE WORKS in the future?

Ms. Susa :

Basically, it is the field with high mobility rate of the labor and most of the employees are dispatched to clients’ office, it is inevitable for them to have low sense of belonging to the company. We are hoping to increase the sense of unity for the entire company by actively carrying out company vitalization policies such as company news, events or even clubs with LINE WORKS. We would also like to use LINE WORKS for individual human resource supports.

 

Mr. Horiuchi :

We would like to introduce usability of LINE WORKS to as many employees as possible. We also want to develop a bot which handles company FAQ.

Ms. Ito:

‘Nail & Eyelash Syisyu’, a beauty company located in Osaka, Kobe, Kyoto, and Hawaii, has a first-class nail artists and a trained eyelash therapists. We offer great technique and design at a reasonable price.

 

Many customers are re-visiting our shop because the price becomes cheaper with frequent visits to the store and post-completion beauty, which lasts for long. Recently, we also operating nail school as well as nail shops.

 

Ms. Ezaki:

I am a store manager of SyiSyu Umeda branch and in addition to greeting customers and nail procedures, I am responsible for overall store management like sales management, customer acquisition, and employee training.

What were the issues before the introduction of LINE WORKS?

Ms. Ito:

Before introducing LINE WORKS, the internal communication methods were mainly e-mail, telephone, and Fax placed on each store. Only limited staff members use their own LINE to communicate when there was an urgent communication needed.

 

We were unable to accept phone calls during working away from the office or greeting customers. If an employee continues to use the phone because of in-house contact, he or she may not be able to answer the customer’s reservation call.

 

So, we mainly contact via e-mail in order to avoid disruption of the sales. However, in the case of e-mail, the time for employees to check with their store’s public PC was limited. As a result, they would often receive a reply in three to four days. It was difficult to get urgent communication such as cautions when placing an order, defective products, and claim response, so the content that needs to be implemented the next day was not delivered properly. Moreover, We were also anxious about the fact that even though we emailed every detail, there were always some missing items founded in confirmation process.

Ms. Ezaki:

I was usually notified by the store’s email about staff members schedule management and new products. However, it was often not delivered properly because miscommunication happens or verbal mistakes occur during delivering messages. We have used FAX many times, but we need to copy what we received from FAX and deliver that message to every staff member or each employee takes a picture of it on their Smartphone and saves it again, which is a waste of both time and paper.

What was the decisive reason that drove you to turn to LINE WORKS?

Ms. Ito:

Our company listens to employees’ voices by having private meeting with them about difficulties during regular meetings with managers and employees. But in a survey, some employee claimed that contact has been made on off-day. In order to address that complaint, I felt that I should introduce information sharing-tool that is more convenient than personal SNS but still available to all employees. I consulted with a company that had a regular transaction and that company introduced LINE WORKS as a tool to ensure that all employees are informed.

 

Because this is a tool that is used by store staffs that are unfamiliar with IT, we decided that LINE WORKS, the enterprise version of LINE that everyone uses normally, would be easy to use. LINE WORKS has a similar interface to LINE. For this reason, I could decide to adopt LINE WORKS with confidence.

 

When LINE WORKS was introduced, every store staffs registered their accounts and within a week, all employees completed log-in. Started with using chat rooms between the store managers, we gradually began to use chat rooms by store or information transmission via using the Home function.

How exactly LINE WORKS is being used?

Ms. Ito:

Contacting from headquarters to stores, stores contacting each other, or inside the store etc all internal communication in our corporation is mostly done by using LINE WORKS.

 

Schedule sharing and managing

We check the employee’s desired schedule and upload the confirmed schedule chart to the Home to share. It is very convenient to check or make changes schedule at any time.

 

 

Nail design checking

Nails need to be replaced regularly, and trends change so that store staff makes a new commercial design every month. When technical manager sends a new nail design draft, you can check it on a chat room, and you can verify clearly because it is easy to attach photos to the LINE WORKS chatting room.

The new design, which is decided after the design check, is uploaded from the headquarters to the ‘Drive’ that has file storage feature and shared the link URL at Home. Until now, photos have been sent as zip files to each store via email, but there have been frequent problems such as zip files are not opened and people check only the text, not attachment. Drive is easy to share designs with the ability to view photos at once using Smartphone. I think it is very good to convert into your Smartphone size.

 

And when sharing on Home, we put a nail color number for that specific design in order to check right away when processing procedure.

What are the effects after the introduction of LINE WORKS?

Ms. Ezaki:

If you send a chat, you can tell who read it at a glance. So even if you don’t get a reply, you can assure that the message has been delivered. Information was sent to each employee’s smartphone in batches, which eliminates the need to operate copy machine or shredder; it saves not only FAX paper or trashes but also employee’s time burden. The schedule can be viewed on a smartphone, so you can check it right away even if you are not at the store. An employee just needs to check LINE WORKS, which is very convenient way.

 

Also until now, we did not contact with other store managers, but LINE WORKS’ ‘Store manager chat room’ enables to contact easily and we can share other stores’ information such as sales management and customer acquisition. For example, if weekend sales are not good enough, we listen and refer to how other store’s status or method of attracting customers.

Ms. Ito:

We think the biggest effect is that field staff can notice the contact from headquarters right away. So far, we have failed to check email or missed confirmation. However, now we can directly deliver a message to all of the employees without having middle steps like through a store manager or a mail. Especially, if we showed pictures of a nail in a meeting before, people only who was in a meeting could know it. However, now that we can send files directly, employees who aren’t in a meeting can also see that picture and I think that is the biggest advance.

 

We can reach each employee one by one, so every contact has been made and no one has been left out. Information that delivered only to the manager level has started to pass on to entry-level workers and this gradually increases employee’s responsibility. We think this is because workers keep in mind that ‘I am also a valuable employee’ and participate in work as a team. Because our industry is sensitive to trends, we think using the latest tools like LINE WORKS will also motivate our employees.

Chiba University Hospital’s Department of Emergency and Critical Care Medicine serves as the disaster hub hospital of Chiba Prefecture, as well as seriously ill patients within the city. Additionally, it provides immediate response to any events occurred within the institution related to seriously ill patients through a professional team called “MET (Medical Emergency Team).”

Please tell us how you used to communicate prior to LINE WORKS and what were the common issues

Dr. Taka-aki Nakada :

At night time or on holidays when patients visit the hospital or those with serious conditions are transferred, there is sometimes shortage of labor and thus, have to make calls to doctors and other members of the medical staff. In the past, we operated a shift system to ensure that someone was on standby in case of emergency. However, there were often cases we could not get an immediate or enough response and would have to call them.

 

In such circumstances that require urgent and prompt treatment, a significant amount of time and manpower is required to call each and every person, making it difficult to conduct a proper response. Thus, as a countermeasure, we then tried sending group messages to everyone. Although people replied whether they can come or not, it was hard to organize automatically who is available or not, which lead to even more confusion. The problem was that no one could accurately and immediately understand the entire situation.

 

In an attempt to solve this issue, we requested for the development of a so-called ‘doctor assembly request system’ to Cereja Technology. Once a group email, stating that doctors are requested to assemble when needed, is sent to the entire staff of doctors, the system would allow each person to respond with pre-defined replies, such as “I can go right now,” “I can be there in a few minutes” or “I cannot go,” and registered them as data.

 

As a result of using the doctor assembly request system, we could find out who is able to attend after summoning the entire medical staff. However, there were new issues such as the inability to quickly figure out what actions to take post-call. Whether or not more people were needed or the current number of medical staff is enough.

How did you come to introduce LINE WORKS?

Dr. Taka-aki Nakada :

The main reason was our need to share the status before and after a call is made through the doctor assembly request system via chat. We thought of using LINE WORKS to share the latest information with everyone post-call.

 

Mr. Yamao :

Although the doctor assembly request system had been deemed to be useful, many people were still unaware when emails were sent since they received personal emails in the same inbox. So we came to think, “What if we use LINE WORKS instead of emails?”, which led us to propose a system in which, instead of sending emails, chatroom messages would be sent through LINE WORKS’ bot API and contact even after the call is conducted through the chatroom.

What was the decisive factor in selecting LINE WORKS?

Dr. Taka-aki Nakada :

I once saw a renowned doctor exchanging messages with a young doctor through LINE, to make comment on details of consultation related to specific treatment methods. Then I realized just how ordinary communication– the seeking and providing of advice and information—takes place in the medical field. The biggest reason was that LINE WORKS is similar to LINE. Since LINE is familiar to everyone, I thought LINE WORKS would incorporate smoothly into operations. Additionally, the fact that LINE WORKS was able to integrate with our doctor assembly request system, and provide a strong, guaranteeing security also played a big role in making our decision.

So what are your thoughts after actually using it?

Dr. Taka-aki Nakada :

Not too long ago, when many people were injured at the Makuhari Messe convention center, we received a request for dispatch from the Fire Department of the city of Chiba and activated the doctor assembly request system. After the request, messages were sent through LINE WORKS’ bot API and responses were collected in less than a minute and the dispatch members we able to gather at the hospital immediately. Even as we were heading to the site in an ambulance, the wireless information coming from Chiba’s Fire Department was shared via LINE WORKS. Upon arrival at the site, the members shared in real-time, all the necessary information and photos with those who were not on-site. By exchanging details of the rapidly changing situation in the field, even the members who were not on-site or at home, could figure out the circumstances and determine the type of responses to take.

Dr. Shigeto Oda :

I believe that it is innovative. It is incredible how the details, which had previously only been able to be communicated one-on-one by word-of-mouth, could now be shared with everyone at the same time.

 

There was recently an incident in which about 50 people were injured at the Makuhari Messe convention center. I was on a business trip to a different region for an academic conference, and Chiba’s Fire Department sent me a call for COMET (Chiba Outreach Medical Emergency Team).

 

Until now, the dispatch of COMET was only determined after identifying a particular situation through a phone call, which was very time-consuming when trying to figure out the current conditions and make the right decisions. This time, however, all pertinent information was shared and exchanged moment by moment through LINE WORKS chat. From details of the conditions shared, we deemed it to be a serious crisis, and thus allowed COMET to be dispatched right away. We could give orders anywhere in the world while continuously checking upon the current situation via LINE WORKS. This allowed us to maintain more situational control. It was remarkable.

 

Emergency events taking place in the hospital can be responded in an identical manner. There were two MET calls within the hospital, and for both calls, I was in my office, not in the ICU. However after receiving calls through LINE WORKS, I was able to head to the scene right away. I believe LINE WORKS is an innovative tool able to provide great amount of assistance.

What were the benefits after introducing LINE WORKS?

Dr. Taka-aki Nakada :

Although the number of employees has not changed, we were able to care for more patients (especially seriously ill patients) while maintaining high performance.

 

MET calls are to call the needed staff urgently to treat patients whose conditions have undergone sudden changes. However, even after MET is dispatched, LINE WORKS provides a variety of information, such as current conditions of the patients or action plans, such as, “Prepare ICU as patient is in need of urgent care!” or “MET activities may cease as patient is showing signs of recovery”. I cannot emphasize enough that communication is extremely critical between the hospital and the emergency site, ambulance and hospital and the site to which MET has been dispatched and the ICU. LINE WORKS enables information to be shared with everyone, at once. So that assistance is provided when needed and the right preparation is made in advance to treat patients. As a result we can provide higher-quality, yet more efficient, medical services.

How do you plan to utilize LINE WORKS in the future?

Dr. Taka-aki Nakada :

We have been focusing on the research and development of a smart patient data collection, processing and sharing system. So we have coined the Smart119 Project, to achieve fast and accurate emergency medical service through the medical device and system R&D project by Japan’s AMED (Japan Agency for Medical Research and Development) in hopes to realize the future of medical care. We wish to utilize the experiences gained from LINE WORKS to emergency medical sites, to continue to develop an innovative system and accomplish accurate emergency medical care.

 

– Mr. Yamao :

There was a comment on whether or not CT or Röntgen images may be shared on LINE WORKS, so we are currently reviewing with our technicians on how to make it possible.

 

Also, if there is an earthquake with a magnitude greater than 5.0, big hospitals must summon all their employees and staff members. Although the basic structure is identical, I want to take on the challenge of developing a call system via LINE WORKS or LINE in such emergency cases as well.

 

Medical field has not yet fully introduced IT technology. There are still some inconvenient aspects that remain in terms of chatting tools and other forms of communication. Thus we would like to continuously propose systems and solutions that can help enhance medical sites.

Mr. Sato :

Our company mainly designs, manufactures. And sells nail guns and various types of equipment for manufacturing companies. For the nail guns, we are occupying more than 90% of overall domestic demand. With more than 40 years of experience, we have been supplying factory facilities for manufacturing companies.

 

Mr. Ebi :

I am in charge of planning and supporting sales activities of each department, and making promotion tools. Moreover, I am responsible for managing company infrastructure, website, as well as filming product videos.

What was the decisive reason that drove you to turn to LINE WORKS?

Mr. Sato :

Even with trivial troubles and issues occurred at the site, it may be regarded as major and important for the company, and eventually become important ‘issue to be solved’. I think that the value of the company is determined by how quickly does the company identify the issue and cope with it accordingly. For this reason, we are countlessly encouraging the site staffs to ‘correct the issues as soon as possible’, and ‘those who are at the site should collect the issue and report to the office’.

 

In order to do so, we are providing cellphones to every employee. Also, we have been thinking that information sharing and collaboration tool as the most important factor for flawless and fast communication.

 

Before LINE WORKS integration, we used to have phone call, email, cell phone, and SMS as company communication tools. With the help of cell phones, it was easy and comfortable to report and contact the office. At the same time, however, the problem with the cell phone communication was that we sometimes forget the contents shared (if not written somewhere) or have to contact each individual. To solve this issue, we once established a rule to write email when submitting reports. As a side effect to this, there was ‘an era in which everyone extraordinarily use emails’. By encouraging the entire employees to submit their report by email, and seniors give instructions through emails, I even had an experience of receiving and replying more than 100 emails a day.

 

There was an incident in which an employee mistakenly sent an email to somebody outside the company. Because the content of the email itself was classified low in confidentiality, it did not lead to a big problem. But, this has become a turning point for us to reconsider about our way of collaboration. While searching on the internet, we accidentally encountered LINE WORKS and find it suitable for our use. We first introduced the tool to the five employees, representative from each department, as a trial.

 

Mr. Ebi :

I was the member who tried using LINE WORKS during trial period. After figuring out some of the features, we came up with the conclusion that LINE WORKS is the collaboration that we have been looking out for. And, we decided to adopt LINE WORKS to the entire company.

What were the issues before the introduction of LINE WORKS?

Mr. Ebi :

One of the obstacles for collaborative work was that we could not share information fluently under the environment in which computers cannot be used. For example, when employees are out for either long-term business trips or construction sites, we could not find out if the collaborators checked the email or the information in properly shared until receiving the response from them. For this reason, there were delays in response as well as a number of employees were involved to solve the issue. This was so inefficient in every aspect.

 

Mr. Haneuda :

Before LINE WORKS integration, we used to contact each other through phone calls or emails. Using email as a communication tool was burdening and ineffective since we could use it only after successfully setting the network. I think this was one of the reasons causing delays in the response.

Why did you choose LINE WORKS?

Mr. Sato :

LINE WORKS provides every feature that we need for the collaboration and nothing was unnecessary. Especially, in the perspective of manipulability, we found that the integration happens so instinctively since LINE WORKS operating method was twin to that of LINE. ‘Read’ notification was also the core reason for the LINE WORKS integration. We have also compared LINE WORKS with the other competitive tools in the past. However, we found more advantages on LINE WORKS by actually operating the tool, and our employees were favorable to LINE WORKS, even during their trial period.

 

It is true that there are many free chatting tools. For the free tools, however, we were feeling unsure about the services available for the users. For example, we were specifically unsure about whether we could get supports when the issues occur during operation or not. Also, we were not even sure when this service will be terminated. When compared with free chatting tools available, we could ensure about the customer services provided by LINE WORKS, since we pay reasonable price. Such secureness has led us to introduce LINE WORKS to our company.

How exactly LINE WORKS is being used?

Mr. Haneuda :

We have created the chat rooms for each construction plan or project, and encouraged the employees to both share information and report the issue there. We are mainly utilizing LINE WORKS when reporting the construction status while working outside the office, or consulting the troubles occurred.

 

We do collaboratively work with other franchisee offices located in Saitama, Nagoya, and Doyama. Even with the physical distance, LINE WORKS enables us to instantly share the current status of the situation by sending photos or videos on the chatting room. With LINE WORKS, we can also download the structural drawings and continue our work smoothly in real time. Unlike computer, using smartphone version of LINE WORKS allows us to check the message straightaway. Further, we can notify and share information with a number of employees at once just by sending messages on the group chatting room, and we found that pretty efficient.

 

Mr. Sato :

After LINE WORKS adoption, the approval process on various estimates has become overwhelmingly faster than before. Up until now, employees had to write initial estimate by hands, and attach the copy of the estimate to the email and send it to the people related in order to get approvals. Because the approval was made in order, it took times to get the final approval from the CEO. Also, if CEO is on a business trip, it was inevitable to have delays in receiving the approval, and sometimes, the delay was even last for about a week. After LINE WORKS adoption, we open up a chatting room based on the agenda, invite all the employees related, and upload the estimate file to get approvals. Those who have joined the chat room can sign an approval on the document regardless of the approval order. Once the staff from the General Affairs find the estimate has received the approvals from everybody in the chatting room, the staff send the estimate. Even without turning on the computer but just using LINE WORKS on the smartphone, it allows us to easily make approvals on the document received, and we can also make approvals while on the business trip. With this, the speed of the overall working process has improved. What used to took a few days to process has now only take about a few hours to complete.

What are the effects after the introduction of LINE WORKS?

Mr. Sato :

After discouraging email communication between employees, we established a complete digital communication ecosystem by integrating LINE WORKS. As a result, the emailing rate has decreased dramatically. Instead, we found out that the rate of the productive and useful communication has increased. With this, the overall mood of the office has changed positively and actively. For example, if one of our employees send message saying that the order was successfully made, the others in the chatting room congrats the person by sending the messages like ‘Congratulations!’. I feel the great joy when feeling that we are all collaborating and sharing feelings.

 

We have also created the chatting room for newly entered employees. New employees are now instructed to write and upload their training report on LINE WORKS messenger. This way, it becomes much easier for the new employees to submit their report, as well as receive as many comments as possible from their colleagues, including the boss, who joined the chatting room. Receiving comments from the seniors would definitely help new employees to develop their career even better.

 

Mr. Ebi :

As LINE WORKS is fully aware of enterprise level of security requirements, we feel secured from company assets and data leakage. In the perspective of workflow, we are truly thankful to LINE WORKS with the effects to eliminate reports and contacts missing, and even eliminate the unnecessary work repetitions. As a result of transforming the email communication into LINE WORKS, we now can continue our communication with the same feeling of having conversations with the collaborators. Along with such sense, we feel that the overall communication and collaboration speed has become faster. As it becomes easier for every employee to share the ideas, ask for consultations, and even report easily, we are sure about that there are more chances available to have communication with one another.

 

Another limitation for using email was that it only allows us to send files with the maximum size of 5MB. For this reason, we had to divide the file and send several times of emails in order to send file that the size bigger than 5MB. After LINE WORKS adoption, what becomes the most comfortable is that we do not have to worry about the file sizes as LINE WORKS covers the size up to 100MB. Workflow has now economically changed by directly sending big sized files like videos, construction maps, and even program data on the LINE WORKS messenger. Employees no longer worry about making mistakes like miss out reference or attachments when writing emails. And this definitely is another advantage we gained from using LINE WORKS messenger.

 

By allowing us to open up the chatting rooms for each department or project, LINE WORKS assures that necessary information that we send through messenger will be sent to those whom it may concerned. If we use LINE WORKS messenger, we can simply write the core information, even without writing pointless introduction, or just send the file for the urgent matter. Previous communication history can also be comfortably checked and reviewed. Specifically, if one of our clients ask the question that we have discussed before, we can simply check the message by checking the archived conversation history. Since we are currently making the best utilization of LINE WORKS, we cannot even imagine us working without it. Moreover, close in the future, we would like to archive every portion of our company data and asset on LINE WORKS.

They integrated LINE WORKS to operate and manage the stores. We interviewed Otomo, who was in charge of the LINE WORKS introduction, about the implementation process and its following effects. We also interviewed the employees to listen further about how LINE WORKS is being operated and its effects.

What were the issues before the introduction of LINE WORKS?

Before LINE WORKS integration, we used to hold headquarters-store and inter-store communication using emails, phone calls, and fax. Of course, we did not have such thing as groupware. Each store has 1 to 3 public PCs. Since daily sales management is important for supermarkets, we required all the store managers to send daily sales condition on each store through cellphone email. When receiving lengthy emails, it was cumbersome to read them all through, scrolling the page to the bottom. Further, when asking store manager about the sales condition of other stores, we often failed to receive the response from them.

 

Because email is one-way communication tool, there was a lot of obstacles to counter back and we all felt that it was not effective enough.

 

For this reason, we started to look out for groupware and enterprise-level messengers for 2 years. We have went through several tools for their suitability, but we found that most of the tools are based on the PC version and some of the our employees could not even type down the words on the computer. With this, we were feeling that what we believed to be ‘understandable to use’ is not always ‘understandable’ to everyone. This brought us to consider further about implementing the collaboration tool if it were to require guide our employees.

What was the decisive reason that drove you to turn to LINE WORKS?

We thought about introducing LINE because we have been acknowledging that employees have already been using LINE as the office communication tool, and also, a lot of the employees felt burdensome utilizing the computers on their work. However, because LINE is a personal account, it was difficult to specify who the person is only with the account information. Also, we could not force the resigned employee to leave the chatting room. Furthermore, there were voice from the employees mentioning that they do not want to hear from other employees when they are off the work. This was understandable complaint since all the shift workers have different time schedules.

 

While struggling so, one of our IT partners introduced LINE WORKS to us. As LINE-like tool, there was no need to give extra education on its usage. Other than this, every account is manageable with the admin account, as well as device-friendly application enables us to send confidential information through devices. With those reasons above, we have decided to immediately introduce LINE WORKS.

How was your LINE WORKS introduction?

We first started with free trial version of LINE WORKS. We registered every employee at once and encouraged them to use the tool at the site. The registration process was not difficult at all because LINE WORKS allows batch registration using CSV file. We both used LINE and LINE WORKS together for about 2 weeks. At the end of this trial period, we came up with the conclusion that LINE WORKS is that we were looking for, and suits our needs. Finally, when the branch manager said ‘Let’s try with LINE WORKS’, we quitted LINE use and moved on to LINE WORKS.

How exactly LINE WORKS is being used? Also, what are the effects after the introduction of LINE WORKS?

We are currently using LINE WORKS for communication between headquarters and stores including butcher’s’, fish, and fruit stores, and inter-store communication, and contact with customers and shipping companies.

We can contact the person in charge of purchasing goods directly for any damage or accident.

Because it is our job to deal with the fresh goods, it is inevitable to have the goods either destroyed or damaged during shipping. In such case, we can deal with the problem in real-time just by taking photos of the goods right at the moment of import, and send it to the delivery manager. It has much easier for the employees to report such incidents much more conveniently with LINE WORKS.

 

Healthy rivalry has increased by sharing daily sales report PDF file through LINE WORKS.

The lengthy sales report, which had to be emailed by the phone once a day, was tabulated by store and shared in PDFs in the chat room. Until now, we didn’t even know who read the message because it was one-sided communication for the most of time. We think the biggest improvement is that we can now use ‘Read notification’ to find out who read it. In addition, it has become intuitive and easy to read, making it easier to compare the report to other stores. As a result, there seems to be a healthy rivalry created between the stores, leading to a sense of improving the sales of their stores.

 

With LINE connection features, we are sharing photos of the goods with our clients prior to the actual delivery.

With the functions connected to LINE, we are communicating with our clients as well. Although the product information to be received is basically written in the pre-emailed specification sheet, it is still difficult to determine only by the text alone because there are a lot of information that cannot easily be recognized.

 

After using LINE connection feature, however, we could directly receive photos of the goods the day before the actual delivery date. For example, information that had not been known until actually receive the goods like the color or the size of the apples, can now be known intuitively with LINE and LINE WORKS. Overall buying process has changed very efficiently.

 

Since we are actually feeling the changes made with LINE WORKS use, we are planning to broaden up the utilization field, such as use it to contact with the deliverymen.

What are the changes at the sites after integrating LINE WORKS?

Mr. Tsue :

We are utilizing LINE WORKS the most when contacting with the butcher department. LINE WORKS helps us to easily find out the information of other stores. For example, when holding an event, we decorate our store. And, as a part of our search for the helpful idea, we take the photos of other stores as reference.

 

In case of the meat product, the method of processing, selling, and price adjustment are not uniform.

 

So, for the most of time, the price is highly subject to the person who decides its price. In this case, it is often studied just by looking how other stores are dealing with the price. Also, we receive the daily sales report of other stores as an urgent message. In this case, we either promise to work harder, or ask the high-scored sales store manager for the tips.

Mr. Miyata :

Before LINE WORKS integration, it was mandatory for us to call back, even if we sent the email, whether to find out the communication partner have read the email or not. That means, we had to make contacts twice on one specific work. LINE WORKS, however, helps us a lot with the ‘Read notification’ by enabling us to check all the employees read the message.

 

For department taking in charge of side dishes, they have become much accurately managed the products with LINE WORKS by sharing photos of the product, related materials, and description stickers and more, when new product is introduced.

How do you want to utilize LINE WORKS in the future?

Mr. Otomo :

We are striving to convey information in more helpful and readable manner, because we are not achieving 100% on the read confirmation in messages such as sales reports and reminders from the headquarters. Also, our current information sharing is often initiated from the headquarters sending out the information to the stores or the employees. With LINE WORKS, we would like to structure a collaboration flow which we gladly receive suggestions from each store and share the idea together with the stores. Not only with the work-related communication, we would like to utilize LINE WORKS, as a tool directly related to our revenue, in sales perspective.
